Transport Manager Mentoring

Operational Readiness & Operational Control

Being a transport manager or operator isn’t about knowing the rules in isolation.  It’s about making decisions — often in imperfect situations — and being able to justify those decisions calmly and confidently if they’re ever challenged.

This mentoring programme has been developed to support transport managers, operators and those with compliance responsibilities with exactly that.

It isn’t classroom training, and it isn’t consultancy.  It’s structured coaching and mentoring, built around real-world scenarios, practical systems, and sound judgement.

Why this programme exists

Most compliance issues don’t arise because transport managers don’t care or don’t understand their responsibilities.

They arise because:

  • situations aren’t clear-cut
  • guidance leaves room for interpretation
  • decisions need to be made in real time
  • and responsibility sits heavily with the individual TM

This programme provides a structured space to think those decisions through, sense-check judgement, and build consistency and confidence over time.

What this mentoring is (and isn’t)

This programme is:

  • scenario-based coaching and mentoring
  • focused on judgement, decision-making, and evidence
  • practical and grounded in day-to-day transport operations
  • designed to support confidence and consistency

It is not:

  • someone making decisions on your behalf
  • a substitute for the nominated transport manager role
  • emergency operational control
  • or a guarantee of compliance or outcomes

Members always retain responsibility for their own decisions and compliance.

How the programme works

Mentoring is built around real-world scenarios transport managers regularly face, including:

  • vehicle defects and roadworthiness decisions
  • drivers’ hours and tachograph issues
  • maintenance systems and PMI evidence
  • enforcement encounters and audits
  • operator licence undertakings
  • grey-area judgement calls

Scenarios are used to explore how decisions are reached, how they are justified, and what evidence would be expected if challenged.

Which option is right for me?

If you’re mainly looking for practical documents and systems you can adapt and use straight away, the Transport Manager Toolbox provides a solid foundation without any ongoing commitment.

If you want regular support to sense-check your judgement, work through real-world scenarios, and build confidence in day-to-day decision-making, Operational Readiness – Transport Manager is designed to do exactly that.

If you value deeper discussion, live mentoring, and the reassurance of having structured access to support over time, Operational Control – Advanced Transport Manager offers continuity, perspective, and a professional sounding board.

There’s no requirement to start at a particular level — the right option depends on the level of support you’re looking for right now.

Final reassurance

This programme is designed to support transport managers, not to add pressure or complexity. It exists to provide clarity, confidence, and a professional sounding board in a role that often carries significant responsibility.  The programme is built around realistic, compliance-led operations scenarios.

Below are examples of the type of situations that members work through each week:

You're a transport manager, what would you do? - You have secured a new, lucrative contract. The work will operate from a depot located in a different Traffic Area to the one in which your current operator’s licence is issued. The client wants the work to commence as soon as possible. What steps must be taken to ensure the operation can be carried out legally and compliantly?

You're a transport manager, what would you do? - A driver is mid-shift and calls to report that they hit the nearside mirror on a low branch, in a country lane.  The vehicle does not have cameras fitted but the wide angle mirror and kerb side mirror are both intact.  What do you do?

You're a transport manager, what would you do? - A driver just reported that their headlight is out. The sidelights work though. It is currently 04:30am in April, and it is dry. What do you do?

You're a transport manager, what would you do? - One of your vehicles has been taken off the road due to a defect and will be unavailable for several days. To maintain service, another operator has offered to lend you a vehicle for two days so deliveries can continue. You do not have any spare margin on your operator’s licence. The vehicle is roadworthy, tested, and insured by the other operator. You are asked whether you can use the vehicle temporarily while your own vehicle is repaired.  What do you do?
